Boden Group Community Support – Terms & Conditions

  1. Introduction

The Community Support Scheme (“the Scheme”) is an initiative of Boden Group Facilities (“Boden Group”) to provide staff time, equipment, and resources to support local communities within our operating areas. The Scheme enables charities, community groups, and other non-profit organisations to complete small-scale projects that would otherwise be difficult to achieve due to limited resources or funds.

The Scheme shall be open to UK based companies only and will be subject to the law of England and Wales.

Boden reserve the right to alter these Terms and Conditions from time to time.

By submitting an application under the Scheme the submitter confirms their acceptance to abide by and be bound by these Terms and Conditions.

Please note, the Community Support Scheme receives a high number of applications, and unfortunately only a limited number of projects can be selected for completion.

  1. The Scheme’s Objectives

The Scheme has been set up to achieve the following objectives:

  • Enhance the well-being of local communities.
  • Support sustainability initiatives.
  • Promote the company’s values by giving back to the areas in which we operate.
  1. Definitions

“A lack of financial or practical means” refers to an organisation not having the funds, skills, time or other required components to complete the project themselves, and this is evidenced by self-certification of this status by the organisation.

“Boden Group” refers to Boden Group Facilities Ltd a company registered in England and Wales under company number 08330311, but can also refer to Boden Fire & Security Ltd a sister company of Boden Group Facilities which is a company registered in England and Wales under company number 06819382.

“Geographic service area” refers to the area in which Boden Group operate. This includes the southwest, southeast up to Portsmouth, and as far north as Bristol.

“Organisation” refers to the charity, non-profit organisation, school, recognised community group or other organisation who are requesting support under the Scheme.

“Project” refers to the work requested by the organisation under this scheme.

“Scheme” refers to the Boden Group Community Support Scheme.

“Scheme’s objectives” refers to the objectives set out in section 2 of this document.

“Second-hand equipment” refers to materials or other items which have been used previously and are still in full working order.

“Terms and Conditions” refers to this document and the enclosed Community Support Scheme Terms and Conditions.

“We”, “Our” refers to Boden Group Facilities or Boden Fire & Security.

“You”, “Your” refers to the charity, non-profit organisation, school, recognised community group or other organisation who are requesting support under the Scheme.

  1. Eligibility Criteria

Applications are open to organisations and projects that meet all of the following criteria:

  • Charities, non-profit organisations, schools, and recognised community groups (formal charitable status is not required).
  • Organisations operating within Boden Group’s geographic service area.
  • Projects or tasks that align with the Scheme’s objectives.
  • Projects that have an impact and make a real difference.
  • Organisations that can demonstrate a lack of financial or practical means to complete the project independently.
  • Projects that fall within Boden’s capabilities, resources, and expertise and can be completed within 24 working hours (3 days), and within £5,000 (These levels may be exceeded subject to director level approval).

Applicants to the Scheme must:

  • Be aged 18 or older.
  • Be a UK resident.
  • Be an authorised employee, volunteer, trustee, director, or officer of the organisation.
  • Have authority from the organisation to apply to the Scheme.

A failure to meet all of the application or applicant requirements, or an incomplete/incomprehensive submission, may result in the project being rejected.

  1. Support Provided

The Scheme offers:

  • Staff time and utilisation of trade skills.
  • Use of company-owned equipment and tools for project delivery.
  • Small-scale material purchases if required (within the overall project budget).

Second-Hand Equipment

Where possible Boden Group may propose the use of second-hand equipment to reduce material purchase spend and in line with our commitment to be an environmentally conscious business. This shall be proposed to the organisation requesting the project. If the organisation rejects the use of second-hand equipment when proposed, then this may result in the project being rejected.

Boden Fire & Security Ltd

In addition to services provided by Boden Group, the Scheme will leverage the capabilities of Boden Fire & Security, to provide additional resources where these are required. In such a case these Terms and Conditions shall prevail with references to Boden Group read as Boden Fire & Security.

  1. Project Delivery & Oversight

Responsibility for delivery will depend on the nature of the project:

  • Projects requiring technical expertise will be overseen by Boden Group staff.
  • Community organisations may lead projects with guidance and support from Boden Group.

Risk assessments will be completed before commencing any project.

  1. Application and Evaluation Process

Organisations may submit multiple applications for different projects concurrently. All applications must be submitted via the Microsoft Teams Form here. Where Boden Group require further information to allow for a full and thorough review of the submission this will be requested. Failure to provide the requested information within a reasonable period of time may result in the submission being rejected. This does not affect the applicant’s right to submit an application for this project in the future.

Applications must be submitted at least 4 weeks prior to the proposed project start date. The details provided in the submission must accurately match the proposed project; if the scope or details differ, applicants may be asked to resubmit their application.

Projects will be selected based on community need, alignment with available expertise and resources, and the overall capacity of the Scheme. Where the Scheme is at capacity, projects that meet all other eligibility and assessment criteria may still not proceed at that time. In such cases, Boden Group may invite applicants to resubmit their project at a later date.

Applications will be assessed based on the following scoring criteria:

  • Alignment with the Scheme’s objectives.
  • Feasibility of the project.
  • Scale and impact on the community.
  • Time and cost requirements.
  • Boden resource availability.

Final approval of any applications is made by the Boden Director Team.

Due to the high volume of enquiries, Boden Group cannot guarantee that all applicants will be notified if their project has been unsuccessful, nor can we provide detailed reasoning for application outcomes.

  1. Project Requirements

If the project site is not owned by the applicant organisation, all necessary planning permissions and approvals must be secured in advance. Boden Group cannot assist in obtaining permissions.

Boden’s insurance policy will cover works undertaken as part of the Community Support Project. Please be aware that due to the specifications of our insurance cover we cannot assist in events such a fetes, opens days and displays.

  1. Funding and Cost Calculations

Maximum support value per project: £5,000 (inclusive of staff time, equipment, and materials). This level may only be exceeded subject to director level approval.

Project costs shall be calculated and evaluated as per below:

  • Staff time at £50 per hour (excluding Project Management time which is at £100 per hour).
  • Materials at cost price (minus VAT), plus a fixed overhead recovery rate.
  • Travel expenses at £0.50 per mile.
  • Any other costs attributed to the project.

Projects will be costed by the Boden Group Management Team at evaluation stage.

  1. Data Protection and Marketing Usage

By applying to the Scheme, organisations agree to Boden Group storing and using submitted data in accordance with our Privacy Policy and the UK GDPR regulations and Data Protection Act 2018.

Boden Group reserves the right to take and use images and videos of the project and works undertaken, excluding identifiable footage of individuals not employed by Boden Group. Boden Group may request images or video of persons involved in the project who are not employed by us, where this is requested image release forms will be provided to all relevant persons, and content shall not be used of said person without a completed release form.

Boden Group may use the organisation’s name, project details, images, survey responses and other relevant non-confidential information for promotional purposes.

Any and all feedback, images, survey responses and project information may be used on the Boden Group’s website, marketing materials, the company’s social media, tender responses, or in other ways which Boden Group deem appropriate and suitable.

  1. Exclusions

The Fund does not support projects that benefit a single individual. Projects must provide a clear community benefit rather than solely supporting an individual or private entity.

Projects that do not adhere to legal and ethical requirements will be excluded. The Company reserves the right to reject applications from organisations whose values or objectives do not align with those of the Scheme.

  1. Reasons for Project Rejection

Projects may be rejected if any of the following are identified:

  • Unsafe work conditions, or other serious SHEQ concerns.
  • The project exceeds the 24-hour/3 day work limit and director approval to exceed these levels is not given.
  • The required skills fall outside of Boden Group’s expertise.
  • The project location is outside of Boden Group’s geographical service area.
  • The project start date is within 4 weeks of the application being submitted.
  • Necessary permissions or planning approvals are not secured.
  • The scope of works involves an ongoing or unacceptable liability/risk for Boden Group.
  • Material purchase costs significantly exceed initial estimates.
  • The total project cost is predicted to exceed the £5,000 limit.
  • Asbestos or other hazardous substances/materials are discovered at the project site.
  • A project can be rejected anytime if Boden Group discover that the submission does not meet the Eligibility Criteria or is false or fraudulent.

Boden Group reserves the right to reject a project at any stage for any reason, including after a project has been initially approved, this includes stopping work mid project.

Any rejection decision made by Boden Group’s Management or Director Teams is final.
